Coordinator of Facilities and Construction

General Job Description:
This position will take direct supervision from the Director of Facilities. This position will coordinate activities with other divisions, outside agencies, the public, and the District’s Executive Leadership Team (ELT). This position will facilitate all construction related activities as delegated by the direct supervisor.
This position will track all construction related documents in Procore for multiple projects to include permissions, budgets, commitments and submittals.
This position will provide technical and administrative support to the Director of Facilities for all activities related to the Public School Facilities Authority (PSFA), Public School Capital Outlay Council (PSCOC) and all relevant inspection agencies. Exercises direct supervision over supervisory and technical staff.

Essential Duties and Responsibilities:
Essential duties may include, but are not limited to the following:

  • Participate in the planning and oversight of construction projects (planning, documentation and reporting, resource management, quality control, risk management, budgeting, permitting and compliance, and closeout).
  • Participate in the creation of and evaluation of competitive solicitations.
  • Monitoring of contractors, architects, engineers, and other related vendors to ensure timely and efficient completion of projects.
  • Preparation of documentation related to construction projects, including schedules, inspections, progress monitoring, review of invoices, and completion of contracts.
  • Participation in all internal and external meetings related to the Construction Department as directed by the Director of Facilities.
  • Participate in the development and implementation of goals, objectives, policies, and priorities; recommend and implement resulting policies and procedures.
  • Participate in the administration of assigned program budget; forecast funds needed for equipment, materials, construction, and supplies; monitor and approve expenditures; recommend adjustments, as necessary.
  • Provide staff assistance to the Director of Facilities; participate on a variety of committees; prepare and present staff reports and other correspondence as appropriate and necessary.
  • Attend and participate in professional group meetings; stay abreast of the current trends and innovations in the field of facilities construction.
  • Perform related duties and responsibilities as required.

QUALIFICATIONS Knowledge of:

  • Operational characteristics, services, and activities of state funding for building construction.
  • Construction methods, terminology, and industry regulations.
  • Modern and complex principles and practices of project management.
  • Principles of school district budget preparation and control.
  • Principles and practices of public relations.
  • Principles of supervision, training, and performance evaluation.
  • Managing projects through Procore, permissions, budgets, commitments and submittals
  • Pertinent Federal, State, and local laws, codes, and regulations.

Ability to:

  • Supervise, direct, and coordinate the work of lower-level staff.
  • Be able to analyze complex situations and find practical solutions.
  • Select, supervise, train, and evaluate staff.
  • Prepare clear and concise reports.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of work including a variety of district and other government officials, community groups and the public.
  • Maintain mental capacity which allows the capability of making sound decisions and demonstrating intellectual capabilities.
  • Maintain physical condition appropriate to the performance of assigned duties and responsibilities.

Qualifications/Experience:
Requirements:

  1. Equivalent to the completion of a BA/BS in the building trades or related field.
  2. Minimum of 2 years of responsible facilities construction/maintenance experience.
  3. Proven experience and training in Procore Construction Management software.

Preferred Qualifications:

  • Minimum of 5 years of responsible facilities construction/maintenance experience.
  • MA/BS in building trades, engineering, or related field.

Physical Requirements:

  • Ability to perform the job and access the environment for which you are hired. The following may be required: Sitting, standing, lifting, climbing steep stairwells, moving about the room or school, walking roof systems, carrying (up to 50 pounds), reaching, squatting, kneeling, prolonged typing, physical ability to type on a keyboard terminal, and moving light furniture.

Equipment/Technology Handled:

  • Must know how to properly operate or be willing to learn to operate all equipment, technology, software, etc.
  • Current software used includes: Procore, Bluebeam, Microsoft Excel, Brightly Asset Essentials Suite (formerly Dude Solutions), and eBuilder.

Work Environment:

  • Must be able to work within various degrees of noise, temperature, and air quality.
  • Interruptions of work are routine.
  • Flexibility and patience are required.
  • Must be self-motivated and able to complete job assignments without direct supervision.
  • After-hours work may be required.

Terms of Employment: Salary and work calendar established yearly by the district.
