Starting wage: $43,069 annually (48-C)
Purpose Statement
The job of Administrative Assistant is done to provide a wide variety of complex and confidential administrative and secretarial support to various directors; providing effective communication with parents, students, and school administration; providing coordination and oversight to department functions and procedures; overseeing site programs and activities; and ensuring efficient implementation of assigned functions. This position will also provide assistance as needed to the District's Athletic and Title I Director. 
This position reports to the Executive Director.
Minimum Qualifications
  1. High school diploma or equivalent
  2. Minimum two (2) years working as a Secretary or Administrative Assistant
  3. Pass a criminal Justice Fingerprint/Background Clearance
  4. Advanced computer ability in MS Word and Excel (applicants selected to interview will be tested)
  5. Advanced Knowledge of MS PowerPoint, Office 365, Forms, etc.
  6. Operate standard office equipment
  7. Ability to represent district professionally by using proper business telephone etiquette
  8. Ability to work with budgets and maintain accurate records and financial records.
  9. Ability to adapt to changing work priorities; maintain confidentiality; set priorities; work as part of a team; work with detailed information/data; multitask; work with frequent interruptions; communicate with diverse groups; prioritize; meet deadlines; and attention to detail and accuracy
  10. Communicate effectively and efficiently with diverse groups of people while maintaining confidentiality and positive working relationships with supervisors, co-workers, parents, and other district employees
  11. Able to roll, push, pull, bend, reach, stoop, and lift up to 30 pounds
  12. Speak, read, write, analyze, understand and follow written and verbal communication in English including grammar and punctuation; listen to, and understand information and ideas presented verbally or in writing
Preferred Qualifications
  1. Working knowledge of PowerSchool, Business Plus, Midas, and Kronos
  2. Perform standard bookkeeping
  3. Professional workplace etiquette and represent the department in a professional manner
  4. Monitor and support projects
  5. Prepare and maintain accurate records
  6. Ability to learn and maintain school website
  7. Perform basic math, including calculations using fractions, percentages, and/or ratios
  8. Read and understand technical information
  9. Demonstrated ability to compose a variety of documents
  10. Ability to take minutes and accurately report them
  11. Ability to maintain accurate records and payments for department's finances
  12. Critical thinking/problem solving skills
  13. Work with minimal supervision
  14. Able to prioritize, meet deadlines, and take initiative in work assignments and duties
  15. Fluency in another language other than English 
Essential Functions
  1. Compiles data from a wide variety of sources (e.g. Title I time sheets, calendars, expenditures/budget etc.) in preparing reports and preparing information for assigned administrator
  2. Coordinates a wide variety of documents, functions and/or program components (e.g. School LAND Trust, Title I program etc.)
  3. Creates and maintains a variety of records (e.g. process billing invoices, travel, reimbursements, etc.) and maintains necessary records for Title I
  4. Maintain regular and predictable attendance to fulfill job requirements efficiently and effectively
  5. Maintains a wide variety of manual and electronic documents, files, and records (e.g. budget data, Power School information, student data, financial records, etc.) to provide up-to-date information and historical reference in accordance with established administrative guidelines and legal requirements
  6. Monitors assigned district programs (e.g. program components, etc.) by coordinating and ensuring compliance
  7. Participates in a variety of meetings, workshops, and training by providing and receiving information, recording minutes, and supporting the needs of the attendees
  8. Processes a wide variety of documents and materials (e.g. School LAND Trust, Student Overnight Travel, SCC Timeline, School Handbooks etc.) 
  9. Responds to a wide variety of inquiries from internal and external parties (e.g. administration, instructors, parents, departments, etc.) to provide information, facilitating communication among parties and providing direction
  10. Supports assigned administrative personnel to provide assistance with functions and responsibilities
  11. Performs clerical functions as assigned for the purpose of ensuring efficient office operations (e.g. making copies, basic equipment, maintenance, scanning, answering telephones, maintaining forms, etc.)
  12. Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the department
  13. Prepares a wide variety of reports, documents and correspondence of a confidential nature (e.g. letters, memorandums and meeting minutes) for the purpose of administering and documenting district processes, providing written reference and conveying information.
  14. Responds to a wide variety of inquires from internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and providing direction
  15. Supports administrative personnel in department (e.g. scheduling, coordinating, monitoring Title I purchase orders, etc.) for the purpose of providing assistance with their administrative functions and responsibilities
Other Functions
  1. Assist other personnel as may be required to ensure an efficient and effective work environment
Working Environment
The usual and customary methods of performing the job's functions require the following physical demands: significant lifting, carrying, pushing, and/or pulling, some climbing and balancing, frequent stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 60% sitting, 20% walking, and 20% standing. This job is performed in a generally clean and healthy environment.
